Application Processing Counter

The System has been developed to process various applications received at the Deputy Commissioner's Office for issuing varieties of certificates. A separate counter has been opened at the Deputy Commissioner's office equipped with a computer, printer and UPS. At present the computerized system deals with eighteen different types of applications and has provision for adding more.

On receipt of the applications at the counter a receipt is given to the applicant mentioning the expected date of delivery, which is a great help for the common public.

The software has provision for checking the relevant documents required for the purpose and whether all necessary documents have been enclosed along with the application. If any document has not been submitted, then the application may be returned immediately to the applicant for rectification.

Applicants can get the status of their applications from the counter itself without going to the branch. This helps the applicants as well as the dealing assistants as it saves their time.

Two days before the expected date of delivery, as a follow up measures the concerned branches are reminded so that they can take appropriate measures to complete the processing the applications and deliver the output in time.

If implemented properly, it will be some sort of Management Information System on various applications received by the Deputy Commissioner's Office. This will also help the administration to systematically evaluate and monitor the system and further to take corrective measures if required.

This will also reduce the direct contact between the public and the dealing assistants and as a result the dealing assistants will be able to devote more time to their normal official work.
